Procurement & tendering · Hampshire
The right contractor, on a price you can actually compare.
Independent procurement support for homeowners, property clients and contractors across Hampshire, Surrey and Berkshire — from preparing the tender to appointing the successful bidder.
Led by Caroline
Procurement is half of what we do, not an afterthought.
Caroline leads our procurement work: tender strategy, sourcing contractors, subcontractors and suppliers, managing tender queries, comparing quotations, clarification, negotiation and appointment support.
James supports with technical scope, programme and commercial review, so the package that goes out to tender reflects how the job will really be built.
Good procurement is where many project risks are either removed or quietly accepted. A clear package and a fair comparison make the rest of the project easier to manage.
How it works
A structured tender, start to finish.
01
Procurement plan
Agree how the work will be packaged, who should be invited, and a realistic timeline.
02
Tender package
Scope, drawings, specification, pricing schedule and key terms — so everyone prices the same job.
03
Shortlist and invite
Identify suitable contractors or suppliers and issue the invitation to tender.
04
Manage queries
Answer tender questions and share clarifications with all bidders fairly.
05
Compare returns
Normalise the bids like for like, identify gaps and exclusions, and set out the risks.
06
Clarify and negotiate
Resolve differences with preferred bidders and agree a clear, complete price.
07
Appointment support
Help carry the agreed scope, price and programme into the appointment.

Questions about procurement
Why not just ask a few builders for prices?
You can, but builders pricing from different information produce quotes that are hard to compare. A tender package gives everyone the same scope, drawings and terms, so the returns can be compared like for like.
Do you recommend particular builders?
We help you find and shortlist suitable contractors and suppliers for the project, and check the information they provide. The choice of who to appoint remains yours, and we do not take commissions from contractors.
Can you help contractors procure subcontractors?
Yes. Caroline also supports contractors with subcontract and supplier packages, tender queries and comparison. See our contractors page for more on that side of our work.
Do you negotiate on price?
Where appropriate, we clarify and negotiate scope, price and terms with preferred bidders on your behalf, within limits you agree. We aim for a fair, well-defined price rather than simply the lowest number.
Do you draft the building contract?
We support the appointment process and make sure the agreed scope, price and programme are carried into the paperwork. We do not provide legal advice; for contract terms you may wish to consult a solicitor.
